HVAC for Commercial Buildings in The Woodlands: What the Heat Does to Your System

Commercial HVAC is different from residential HVAC in ways that matter for maintenance planning. The equipment is larger, the occupancy loads are variable, and the consequences of failure are harder to work around. A homeowner whose AC goes down can stay with family for a few days. A church whose system fails on a July Sunday morning has 400 people in a building that will hit 90 degrees inside within two hours.

The Woodlands heat is harder on systems than most places

We run air conditioning here from late March through mid-November on most years. That's roughly 2,400 to 2,800 hours of annual runtime, compared to 800 to 1,200 hours in northern climates. Equipment that might last 20 years in Chicago lasts 12 to 15 here. Coils accumulate biological growth faster because the system is constantly cycling humid air. Filters load up with particulates faster. Condensate drains clog more often because they're working constantly.

This doesn't mean your equipment will fail prematurely with proper maintenance. It means the maintenance schedule has to account for the climate. A filter that gets changed every 90 days in a temperate climate may need to be changed every 45 to 60 days here.

The church building challenge: heavy use, then nothing

Church buildings present a specific HVAC challenge. The system has to cool a building from 75 degrees to 68 degrees in two hours on Sunday morning before 300 people arrive, then maintain that temperature through peak occupancy, then the building sits empty for most of the week. That start-stop load cycling is hard on compressors. It's harder than steady-state use in a continuously occupied office building.

The practical answer is pre-conditioning: starting the system earlier than you think you need to, so it's running steadily rather than surging. Most church facilities coordinators already know this. The ones who get calls from me are the ones where the system couldn't keep up even with pre-conditioning, which usually means a maintenance issue that's been developing for a while.

What a commercial HVAC maintenance schedule actually looks like

At minimum, commercial HVAC maintenance here should include filter changes every 45 to 60 days for systems in regular use, coil cleaning once per year before cooling season (typically February or March), condensate drain inspection and flush twice per year, and a full system check before the heavy cooling season starts. Refrigerant levels, electrical connections, belts and bearings on older systems, thermostat calibration.

An emergency compressor replacement for a commercial unit runs $5,000 to $15,000 depending on tonnage. A full system replacement is $15,000 to $40,000. Annual preventive maintenance costs $400 to $1,200 per unit depending on size. The math isn't complicated.
